Using Camp Notice
Once your ACTIVE key is connected, Camp Notice runs on its own. The whole product is one loop: detect a cancellation, offer the open spot down your waitlist one family at a time, and stop the instant someone claims it.
This guide covers what happens automatically, the few things you set once in Settings, and exactly what a family on your waitlist experiences.
- Detect — Camp Notice polls your ACTIVE roster every 3 minutes and spots an open seat in a watched session within minutes.
- Offer, in order — The next eligible family gets a text and email at once, both carrying the same secure one-tap claim link and a countdown (15 minutes by default).
- Claim — One tap holds the seat and sends the family to ACTIVE to register and pay. Taps are race-safe — exactly one family can win a seat.
- Refill — No answer moves the offer to the next family until the seat is taken; an exhausted list is flagged on the dashboard and your team is alerted.
How to set up Camp Notice
- Pick which sessions to watch — On the Sessions page, toggle each session to Watching. Camp Notice only sends offers for watched sessions; sessions with families already waiting are pre-selected right after you connect ACTIVE.
- Set your claim window — In Settings → Offers, set how long each family has to claim (15 minutes by default, 10–60), optionally stop offering some hours before a session starts, and choose text, email, or both.
- Turn the automation on — Set Offers to Automatic (or Manual to approve each one). Sending offers needs an active subscription — add a card to start a 7-day free trial; offers switch on immediately and nothing is charged until day 7.
Frequently asked questions
How long does each family get to claim a spot?
You set the claim window in Settings — 15 minutes by default, adjustable from 10 to 60. Each family gets that long to tap the link before the offer moves to the next family in line.
Which sessions does Camp Notice send offers for?
Only the ones you set to Watching on the Sessions page. Every session syncs from ACTIVE every 3 minutes; you toggle which ones Camp Notice watches, and pausing a session stops new offers for it without losing any data.
Can I approve offers before they send?
Yes. The Offers setting has three modes: Paused (nothing sends), Automatic (offers go out the instant a seat opens), and Manual (each offer waits for your approval first).
What happens if two families claim at the same time?
Exactly one wins. The claim link is single-use and the seat is held with a race-safe check, so simultaneous taps across devices or channels can never double-book — the second family sees a friendly “already filled” page.
What does a family who opts out with STOP experience?
They are opted out immediately and globally. Camp Notice checks the suppression list before every future send, so a family who texts STOP is never messaged again.
